A PDF (Portable Document Format) is the standard, open way of electronically delivering documents. It is supported by every platform and all documents, charts, graphics and forms which are converted to PDF look just like they would if they had been printed. Sometimes, these files can be really large and in such situations, the first question that would pop into your mind would be, “How to make a PDF file smaller?” You may need to do this in order to upload them to a website or send them as an email attachment. There are quite a few options for compressing PDF files, and we will take a look at some right here.

Online compression tools to reduce pdf

There are a number of PDF compression tools available on the internet. A simple Google search will give you a number of results with many free and many paid PDF compression tools. The free services are just as good as the paid ones, and if you are only going to be compressing a few files every now and then, you shouldn’t bother getting a paid service. Just make sure you use software from a reputable source.

All you need to do is choose the file you want to compress and upload it to the compression website. The website will probably ask you to type in a captcha. Do so, then wait a few seconds or minutes depending on the size of your file and you will then be given a link to download it to your computer. The process couldn’t be simpler.

If you use Adobe Acrobat, there is an inbuilt feature which lets you compress files too. All you need to do is open your PDF file using Adobe Acrobat and then click on “File” > “Save As” > “Reduced Size PDF.” Choose the type of compatibility that you require for the new file. If you are certain that everyone who views the file is going to be using Adobe Acrobat X or higher, the file can be compressed quite a bit.

There is a simple solution for Mac users too. They can use the “Preview” feature to compress files. First, they will open PDF files with this application through the Finder menu. PDF files open with this application by default unless you changed the defaults to Adobe Reader or some other PDF viewer. If so, simply right-click on the PDF file and go to “Open With” > “Preview.” Once opened, click on “File” > “Export” then click on the Quartz Filter and choose “Reduce File Size.” Click on “Save.” You will also get an option to either overwrite the original file or create a new one.

If you’re looking for something a little more advanced while compressing files, you will need to use “PDF Optimizer.” There are a number of different options here which help with file compression. Let’s look at a few of the options you can tinker with.

First of all, you need to determine the items which are increasing the size of the file. Click on “Audit space usage” on the top right. Here you will see all the components of your document and the amount of bytes each uses. You can then decide which components you want to trim back on and go through each panel by clicking on them.

Use the Images Settings Panel in order to make any adjustments to the images in your document. Here you will be given the option of adjusting the settings for grayscale, color, and even monochrome image compression. Just remember, the higher the PPI, the better the resolution. If you aren’t going to be printing the file, consider reducing the PPI. You don’t need more than 72 PPI for on-screen viewing.

One more thing you could try is down sampling. This reduces an images resolution and decreases the number of pixels when it merges all the original colors into larger pixels. There are a number of options in the drop down menu including average down sampling to, subsampling to, Bicubic down sampling to, etc. Play around with these options till you get the desired result.

The “Fonts Settings Panel” can be used for embedding or unembedding fonts. Embedding fonts from the original document will ensure the fonts on the PDF can be seen and printed even when opened on other computers even if they don’t contain that font.

If you don’t need the exact font in your document, you can opt out of embedding fonts, and this will reduce the size of the file. The fonts will get replaced automatically on any system which doesn’t contain the original font. The “fonts to embed” and “embedded fonts” options will allow you to choose accordingly.

Other options to compress a PDF include:

1.) The transparency settings can have an impact on the size of a PDF file too. You can choose from include low, medium and high resolution. Each setting contains a group of presets too which affect the level of transparency, meshes and gradient, etc. Adjusting transparency resolution will help reduce the file size here.

2.) There’s also the discard objects panel which will help you get rid of unnecessary items in your document. When opening this panel, you will first see a list of settings along with a checklist. Some settings here include discard bookmarks, discard document tags, discard all form submissions, etc. Choose the objects you don’t want on the original document.

3.) The discard user panel has an option to remove your personal information from the document. Some of the things you can get rid of include comments, forms, and multimedia, private data, etc.

4.) And finally, there’s the cleanup settings panel from where you can remove any useless, extraneous data in your document. By default, only the elements which do not select the functionality of the document will be selected here. Choosing any non-default settings may impact the documents functionality. So you shouldn’t alter these settings unless you know exactly what you’re doing.
